Department Manager's Role with TEM

Department managers play a vital role in a company. Some department managers make sure that their department is within budget and that all expenses are validated. Department managers should have a total grasp on employee and location spend. Most businesses utilize manual data "scrubbing" from invoices and place them into a spreadsheet to manipulate cost by department or GL code. Keep in mind that each carrier invoice is attached to an account number then to a site location. Almost always, all locations are bunched into one invoice and the data must be manually extracted and allocated to each department.

Let us take a wireless invoice for example. Wireless devices are attached to an employee,which are then attached to a site location, and then a department. When an employee moves departments, it is difficult to track costs by using just an invoice for validation.

With a web-based telecom expense management software (TEM), services are updated when anything related to that service changes. Utlizing the Request Manager, within the TEM,ensures that the cycle of an inventory item reflects changes such as upgrades, contract changes, service disconnects, new orders...etc. Department managers can utilize the flow-thru invoice validation that WCS suggests to make sure that invoices are properly validated for payment. WCS automatically extracts the data from any carrier invoice and imports them into the TEM. When a new invoice is loaded, an Email Alert will be sent to all participating department managers for validation. Once the invoice is marked validated by one or all participating departments, then another Email Alert will be sent to the Accounts Payable Department to process the invoice for payment. Since all invoices are stored, all data fields can be manipulated from previous invoices to produce forecasting or trending reports.
